Optus Orbital · May 2023

The deep-dive case study.

The largest of our recent signature events: 4,600 staff from across Australia brought together for the first time. Three simultaneous facilitated sessions across three rooms of 1,000–1,900 participants. Average post-event survey rating: 4.85 out of 5.

The challenges Optus set us: establish consistent messaging across a diverse workforce; reinforce key messages and link them to the Optus behaviours and strategy; and inspire individual contributions by giving every employee a clear understanding of how their role mattered.

Insights, lessons & learns — best practice we'd bring

Eight things 27 years has taught us.

We won't claim any of these are rocket science — but they're the practices we lean on every time we step into a high-stakes leadership event, and the practices we'll bring to Fujitsu.

01

Strong Sponsor Partnership

Co-design, continuous alignment, and embedded feedback loops. Vital that we work shoulder-to-shoulder with sponsors from day one — co-creating the event narrative, experience design and key moments. Regular feedback cycles keep the programme sharp, relevant and culturally tuned.

02

Visible Executive Ownership

Leaders as facilitators of meaning, not just broadcasters of message. Engage senior leaders early — not just to present, but to actively shape and lead key moments. Lifts credibility and buy-in in a way that feels authentic.

03

Rigorous Delivery Planning to Minimise Risk

Scenario planning, dry runs and facilitator alignment. A detailed planning process — including content testing and logistics walkthroughs — lets us anticipate and mitigate risks. In 25 years of doing what we do, we have never missed a day. Our full-time facilitator team means cover is always available if the unthinkable happens.

04

Visible Executive Involvement

Execs participating in — not just presiding over — the experience. When the Exec engage in the same activities, reflections and challenges as their teams, it fosters trust, flattens hierarchy and lifts energy in the room. People pay attention when their leaders are leaning in, not watching from the sidelines.

05

Immersive Participant Engagement

Active over passive. Dialogue over download. Experience over explanation. Whether through simulations, peer conversations or real-time commitment-setting, the goal is to shift mindset — not just inform. No one sits back. Everyone's in.

06

Embedding Psychological Safety

Deliberate design of the agenda and activities that fosters inclusion, reduces fear of judgement, and invites real conversation. Despite the size of the room, create space for honest dialogue — because alignment and engagement is more likely when people feel safe to contribute.

07

Sustained Momentum Post-Event

Events are the spark — follow-up is the flame. Critical to extend the life of the event beyond the day through post-event activation: leader-led conversations, toolkits, accountability nudges and next-step clarity. The goal is not just an amazing, inspiring day, but a great outcome.

08

Seamless Collaboration with External Partners

Play well with others — amplify and complement. We work hand-in-glove with event producers, AV teams and conference organisers to create a cohesive experience. Our role is to elevate the whole, not take centre stage. A "team of teams" mindset on every partnership.

What our clients say

Don't take our word for it.

Real moments from the room — and what participants and sponsors had to say afterwards.

Next steps

How we propose to move forward.

Step 01 — This week

A walkthrough with your sponsor group.

Rob, Caspar and Lilah present the proposal, answer questions, and gather the input we need to firm up the agenda and any open commercial questions.

Step 02 — Within two weeks

Confirmed agenda & commercials.

We translate your input into a locked agenda and a final quote — ready for procurement review.

Step 03 — Weeks 3–6

Contract, design, build.

Engagement letter signed; design phase kicks off; the build of materials, simulations and the Courageous Conversations Activation Guide begins. Sponsor check-ins on agreed cadence.

Step 04 — Conference day

Deliver, and capture the proof.

Facilitate the conference end-to-end. Capture feedback and insights live and post-event. Report back to your sponsor group against the outcomes you set.

Ready to create the spark?

We'd love to walk this through with you in person and answer any questions on the way to a confirmed conference.
